These Terms of Service explain how MetroWest AI Solutions provides discovery calls, AI business assessments, consulting, and managed AI services. By booking a call, buying an assessment, signing a proposal, or using our services, you agree to these terms.
1. Who we are
MetroWest AI Solutions is operated by Brian, a solo founder based in Medfield, Massachusetts. The website is metrowestaisolutions.com.
2. Service types
- Free discovery call. A 20-25 minute call to discuss your business workflow and identify possible AI-related bottlenecks. The call is free and does not require you to buy anything.
- AI Business Assessment. A paid flat-fee written report, currently priced at $999, identifying 3-7 recommended AI systems, tools, or workflows based on information you provide.
- Done-with-you consulting. Ongoing working sessions where we help you plan, build, test, and improve AI systems alongside your team. Pricing and scope are set in a separate written proposal or agreement.
- Done-for-you management. Ongoing work where MetroWest AI Solutions, or an operator working with us, builds, configures, monitors, or maintains AI systems on your behalf. Pricing and scope are set in a separate written proposal or agreement.
You may stop at any stage. Buying one service does not require you to continue to another service.
3. Client responsibilities
You are responsible for providing accurate, complete, and current information about your business, workflows, staff capacity, tools, legal obligations, and goals. Our recommendations are only as good as the information you share with us.
You are also responsible for deciding whether to implement any recommendation, for reviewing outputs from AI systems before relying on them, and for making sure any tools or workflows you use comply with your own legal, privacy, security, industry, employment, and customer obligations.
4. Call recording and notes
Discovery calls and consulting sessions may be recorded or transcribed using Fathom or another third-party AI note-taking tool. We use recordings, transcripts, and notes internally to understand your business, prepare reports, keep track of decisions, and improve our services. We do not sell call recordings or publish them publicly.
5. No guaranteed outcomes
AI recommendations and implementations are intended to help identify and reduce business bottlenecks. We do not guarantee specific results, revenue increases, cost reductions, time savings, customer growth, employee productivity gains, search rankings, or return on investment.
6. Third-party tools
Many AI systems rely on third-party tools, platforms, models, automations, integrations, hosting providers, analytics providers, payment processors, or software vendors. We are not responsible for third-party outages, errors, pricing changes, feature changes, account restrictions, security practices, privacy practices, data handling, model behavior, or terms of service.
7. Fees and payment
The AI Business Assessment is a one-time $999 flat-fee service unless a different price is stated in writing. Ongoing consulting and management engagements are priced separately, often as a monthly retainer or custom project fee. Payment terms for ongoing work are set in the applicable proposal, invoice, statement of work, or agreement.
8. Changes to scope
If a request falls outside the agreed scope, we may quote additional fees, adjust timelines, or decline the extra work. For ongoing services, the scope may be changed only by written agreement.
9. Confidentiality
We will use reasonable care to protect non-public business information you share with us. We may share information with service providers when needed to deliver the services, such as scheduling tools, AI note-taking tools, document tools, payment processors, cloud services, operators, or contractors who support the engagement.
10. Intellectual property and work product
Unless otherwise stated in a separate written agreement, you may use the final reports, recommendations, prompts, workflow designs, and implementation materials we prepare for your internal business purposes after you have paid all amounts due. MetroWest AI Solutions keeps ownership of its pre-existing methods, templates, know-how, frameworks, and reusable materials.
11. Termination of ongoing services
Either party may terminate an ongoing consulting or retainer engagement by giving 30 days' written notice unless a separate written agreement states otherwise.
12. Limitation of liability
To the fullest extent permitted by law, MetroWest AI Solutions is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost revenue, lost data, business interruption, or costs arising from your implementation or use of recommended AI tools or systems.
To the fullest extent permitted by law, our total liability for any claim related to a service is limited to the amount you paid MetroWest AI Solutions for that specific service during the three months before the event giving rise to the claim.
13. Governing law
These terms are governed by the laws of the Commonwealth of Massachusetts, without regard to conflict-of-law rules.
14. Changes to these terms
We may update these terms from time to time. The updated version applies when it is posted on the website or otherwise provided to you, unless a separate signed agreement says otherwise.
Privacy Policy

This Privacy Policy explains how MetroWest AI Solutions collects, uses, shares, and protects information when you visit our website, book a call, communicate with us, buy an assessment, or use our consulting or management services.
1. Information we collect
- Contact information: name, business name, email address, phone number, website, and scheduling details.
- Discovery call information: information you share during a call, plus recordings, transcripts, notes, and meeting summaries if a tool such as Fathom is used.
- Business assessment information: details about your operations, workflows, staff roles, tools, processes, customers, bottlenecks, goals, and constraints.
- Payment and billing information: invoice details, payment status, and related transaction records. Payment card information is handled by third-party payment processors and is not intentionally stored by us.
- Website information: pages visited, referral source, device and browser information, approximate location, cookies, analytics events, and similar technical data if analytics or cookies are used.
- Email and outreach information: email address, messages, preferences, and engagement with emails if you sign up for outreach or contact us.
2. How we use information
- To schedule and hold discovery calls.
- To prepare AI Business Assessment reports.
- To provide consulting, implementation, and management services.
- To communicate with you about services, invoices, scheduling, support, and follow-up.
- To improve our services, internal notes, workflows, and client experience.
- To maintain security, troubleshoot issues, prevent misuse, and comply with legal obligations.
- To send outreach or marketing emails where permitted, with an option to unsubscribe.
3. Call recordings and transcripts
Calls may be recorded, transcribed, or summarized using Fathom or a similar third-party AI note-taking service. We use those records internally to prepare reports, remember decisions, and deliver services. We do not sell call recordings, and we do not share them publicly.
4. How we share information
We may share information with trusted service providers and tools that help us operate the business, including scheduling platforms, Fathom or similar note-taking tools, email providers, analytics providers, payment processors, document tools, cloud storage providers, AI platforms, automation tools, contractors, or operators supporting a client engagement.
We may also share information if required by law, to protect rights or safety, to respond to legal process, or as part of a business transfer.
5. Third-party AI tools and vendors
If we recommend or use third-party AI tools, those vendors may process information according to their own terms and privacy policies. You should review the privacy and security practices of any tool before deciding to use it in your business.
6. Cookies and analytics
The website may use cookies, analytics tools, embedded scheduling tools, or similar technologies to understand website usage, improve the site, and support booking or outreach. You can usually control cookies through your browser settings.
7. Data retention
We keep information for as long as needed to provide services, maintain business records, comply with legal obligations, resolve disputes, and improve internal processes. We may delete information earlier when it is no longer needed.
8. Security
We use reasonable administrative, technical, and organizational measures to protect information. No system is perfectly secure, and we cannot guarantee that information will never be accessed, disclosed, altered, or destroyed.
9. Your choices
You may contact us to ask to access, update, correct, or delete certain personal information, subject to legal, security, and business recordkeeping limits. You may unsubscribe from marketing emails using the unsubscribe link or by contacting us.
10. Massachusetts breach notices
If a data incident triggers Massachusetts breach notification obligations, we will handle notices in accordance with applicable law.

Payment and Refund Policy

1. AI Business Assessment payment
The AI Business Assessment is a one-time flat-fee service, currently priced at $999 unless a different price is stated in writing. Payment is due before work begins unless otherwise agreed in writing.
2. AI Business Assessment refunds
The $999 AI Business Assessment fee is refundable only if you cancel before we begin reviewing your materials, analyzing your business information, or preparing your report. Once the report has been delivered, the assessment fee is non-refundable.
3. Ongoing consulting and management retainers
Ongoing consulting and done-for-you management work is billed according to the applicable proposal, invoice, statement of work, or written agreement. Fees may be monthly retainers, project fees, hourly fees, or another agreed structure.
4. Retainer cancellation
Either party may cancel an ongoing engagement by giving 30 days' written notice unless a separate written agreement states otherwise.
5. Late payments
If payment is late, MetroWest AI Solutions may pause work, withhold deliverables, or terminate services until the account is brought current. Late fees, interest, or collection costs apply only when stated in the applicable agreement or invoice.
6. Third-party costs
Third-party software, AI tools, subscriptions, usage fees, hosting, data storage, integrations, or other vendor costs are your responsibility unless a written agreement says otherwise. Vendor pricing can change, and MetroWest AI Solutions is not responsible for those changes.

MetroWest AI Solutions provides AI consulting, workflow assessment, implementation support, and related business services. We do not provide legal, tax, accounting, financial, employment, cybersecurity, medical, or regulated professional advice. You should consult qualified professionals for those matters.
2. Recommendations depend on client information
Our recommendations are based on the information you provide, the business context available at the time, and our professional judgment. If information is incomplete, inaccurate, outdated, or changes later, recommendations may no longer fit your business.
3. No guarantee of results
We do not guarantee that recommended or implemented AI systems will produce any specific outcome, revenue increase, cost reduction, time savings, productivity improvement, lead conversion rate, customer satisfaction result, or return on investment.
4. AI systems require human review
AI tools can produce errors, incomplete answers, biased outputs, outdated information, or unexpected behavior. You are responsible for reviewing AI outputs before relying on them, especially for customer communications, business decisions, regulated work, or sensitive information.
5. Third-party tools and platforms
MetroWest AI Solutions may recommend or use third-party AI tools, automation platforms, software vendors, or integrations. We are not responsible for third-party outages, bugs, pricing changes, model changes, data handling, privacy practices, security incidents, account restrictions, or terms of service changes.
6. Client implementation choices
You are responsible for deciding whether and how to implement recommendations. You are responsible for training your team, setting internal rules, monitoring tool performance, protecting customer and employee data, and making sure your use of AI complies with laws, contracts, platform rules, and industry obligations that apply to your business.
